Policies and Procedures
The client agrees to the following:
1) Happy Tails Pet Sitting and its pet sitters (Independent Contractors) agree to provide services stated in this agreement in a reliable and trustworthy manner. In consideration of these services and as an express condition thereof, the client expressly waives any and all claims against Happy Tails Pet Sitting or its pet sitters (Independent Contractors), unless arising from gross negligence on the part of Happy Tails Pet Sitting.
2) Scheduling Future Appointments: Future appointments should be scheduled online. Log into your Precise Pet Care (PPC) portal and request “new visit”. If you have any questions call our office at 916-628-5543.
3) Meet and Greets: All new clients must have a meet and greet with the sitter prior to the start of new service. Initial meet and greet is complimentary. Additional meetings to "touch base" will be charged at the rate of a 30-minute visit. Only exceptions are new sitter, you have moved or new dog in household.
4) Client authorizes Happy Tails Pet Sitting to arrange for a back-up pet sitter to take over or share duties if deemed necessary by Happy Tails Pet Sitting.
5) Payments: (Payment must be made before services are rendered) (Please do not pay the sitters directly). If paying by check, mail to: Happy Tails Pet Sitting 3045 Sacramento St #494 Placerville CA 95667. There is a $25.00 plus bank fees on all returned checks. You can pay by VISA, Master Card, Debit Card, or Discover Card. If paying by credit card, please pay via the PPC portal. You may also pay via Zelle and Venmo. In the event of additional unforeseen costs (such as food, supplies, flea bath, vet fees, etc.), a separate itemized invoice will be provided at the end of the service. Payment for additional items listed will be expected within 5 business days of completion of service.
6) Effective March 1, 2022, Happy Tails Pet Sitters will no longer retain client keys. Happy Tails Pet Sitting will need to access your home via a garage code, door code, or lockbox. Clients that provide a garage code or front door code will need to have a backup key on their property.
If you reside in an apartment complex that won't allow the lockbox, please reach out to us to discuss. If the sitter has to make special trip to pick up / drop off key, there will be a $15.00 fee.
7) Locksmith: Client gives Happy Tails Pet Sitting the authority to use the services of a locksmith in the event of malfunction of the lock, keys, or automatic door opener. Client also agrees to reimburse Happy Tails Pet Sitting within 10 days of return for all costs incurred, and to hold Happy Tails Pet Sitting harmless for consequences related to the activities of the locksmith.
8) Let us know you're home: Client agrees to leave a message in their PPC portal letting us know you're home and the pets are safe.
9) Visitors: If anyone will be entering client's home while it is under our care, client agrees to notify Happy Tails Pet Sitting in advance. Happy Tails Pet Sitting will not enter an occupied home if client has not previously made us aware of visitors. Similarly, unless we receive instructions from client, we will not grant access to the home to any visitors. Happy Tails Pet Sitting will not be held responsible for any damages incurred to client's home or pet(s) by visitors. It is understood that anyone with access to the home will be notified of Happy Tails Pet Sitting presence and vice versa. The police will be called, without exception, on all intruders or suspicious acts.
10) Outdoor access: Happy Tails Pet Sitting will not be held liable for the wellbeing or actions of any pet with unsupervised access to the outdoors.
11) Refunds: Happy Tails Pet Sitting does not offer refunds for cancelled services by client's request. All monies paid in advance will be applied as a “Credit” for future services. If credit not used within six months, it will expire.
12) Late Fees: All payments for services are to be paid at the time service is rendered. Unpaid balances after 2 weeks of the ending service date will be subject to a 5% penalty of the amount owed. Balances past 30 days owing, will be charged an additional 5% every 30 days thereafter.
13) The client understands that all pets must have a veterinarian and must be current with all vaccinations in order to be boarded or utilize day care.
14) Happy Tails Pet Sitting does not diagnose, make prognosis, nor make therapy decisions nor does it offer veterinary services. Any veterinary/medical concerns will be referred to a veterinarian.
15) The client understands that the animals interact with other animals and employees. The client must express any known aggression problems that the animal has with other pets or people and must be free of any communicable diseases.
16) Client is solely responsible for any harm caused by their pet to any pet sitters/Independent Contractors, other pets/owners, or property. Client agrees to reimburse Happy Tails Pet Sitting for all costs (including, but not limited to, medical care and lost wages) associated with exposure to pet(s).
17) Please make sure that all items, including medications, are labeled with pet's name and owner's name.
18) Happy Tails Pet Sitting reserves the right to take pet(s) to vet if necessary. Client is responsible for all charges including, vet fees. All attempts will be made to contact owner and/or emergency contact. If neither party can be reached, client agrees to give Happy Tails Pet Sitting and pet sitter authorization to act in the pet's best interest even if this means seeking medical attention prior to notifying client.
19) Happy Tails Pet Sitting reserves the right to deny service or terminate service because of safety concerns, financial concerns, or inappropriate or uncomfortable situations.
20) Standard Cancellations: Cancellations made 24 hours (one calendar day) or less before a scheduled service will be charged for one full day of service.
Holiday Cancellations: Require seven calendar days’ notice.
Credits: Any monies paid in advance will be applied as a credit for future services. Credits expire if not used within six months.
Early Returns: There are no refunds or credits for early returns.
21) Requests for service with less than a 24 hours' notice is subject to availability and cannot be guaranteed.
22) Pet Glamour & Social Media
Happy Tails Pet Sitting maintains both a website and a Facebook page where we occasionally feature pets in our care. These posts are intended to celebrate and showcase your pets, highlight their personalities, and share fun moments from our time together.
We will never share client names, addresses, or identifying information without permission.
Photos may include your pet at play, on walks, or simply relaxing at home.
If you prefer that your pet not be featured on our website or social media, please let us know in writing, and we will happily respect your wishes.
